This is a great opportunity to work with a dynamic, dedicated team.Duties:10Ensure compliance with AP and Accounting policies and regulations by providing fiscal staff with current information and advising them of corrective action when non-compliance occurs. Applies consistent application and interpretation of complex IRS regulations, as well as University policies, procedures and regulations to University transactions. Provide training as required.Essential10Perform delegated functions: Approve direct payments, assist departments resolving problems in BANNER, perform override for system misread NSF''s. Review and approve all representatiional and nonrepresentational forms.Essential10Reporting to Statewide: Works with SW Cash Management to ensure compliance with banking regulations and accurate wire transfer information.Works with SWHR to ensure 1042-S reporting compliance for AP and Travel payments to foreign nationals and foreign entities. Reviews and updates 1099 cash and non-cash reporting information for UAA and works with SW Financial Systems to ensure accurate 1099s. Verifies vendor tax ids with IRS. Reconciles balance sheet accounts for AP and Travel. Directs the annual unclaimed property review. Handles FYE AP related closing processes for Anchorage campus.Essential20Serves as Travel Administrator for UAA campus. Reviews exceptions to UA Travel Regulations as they arise. Collaborate with Statewide and other campuses on the administration of travel regulations and their application through the travel portal and travel processing software.Essential20Supervise and Manage AP and Travel staff and functions: Review and approve staff work product. Provide training and assist staff in problem solving account issues. Develop effective strategies and training to enable staff to deal with conflict in a constructive manner. Be instrumental in motivation of staff members to accept the idea of continuously striving to improve. Ensure AP and Travel staff are cross trained.Audit supporting documents for correctness, data entry accuracy, and compliance with federal regulations, GAAP, and UA policy and procedure. Evaluate and approve exceptions to policy/procedure. Approve journal vouchers. Establish procedures as necessary. Establish goals for areas.Develop efficient processes and procedures for campus AP functionality and compliance.Essential25Problem resolution: Analyze and resolve department questions as they pertain to encumbrances, process and payments. Resolve technical system problems with data entry, identify problems and solutions. Resolve vendor problems that exceed 60/90 days.Essential5Advises community campus fiscal staff on policies, procedures and best practices applicable to accounts payable and travel issues.EssentialSummaryThis position is responsible for the management of the Accounts Payable and Travel staff and functions. It maintains compliance with UA policy and procedure, federal regulations, and GAAP while ensuring prompt, accurate processing of invoices for all University obligations and travel documents.This position will provide accurate reporting information for 1099's, 1042S and updates to employee W2's. Provides training to UAA departments on account code compliance, representational expenses, accounts payable and petty cash policies. As Travel Administrator reviews exceptions to UA Travel Policies. Provides accounting expertise to the UAA campus and community campuses as needed. Knowledge/Skills/Abilities: Required knowledge: GAAP, related Alaska Statutes, Federal regulations regarding travel and 1099/1042's. Knowledge of automated accounting systems. Knowledge of supervision techniques.Required skills: Accounting, customer service, verbal and written communication, human relations, Oracle database, accounting system, problem solving, training, analyzation. Required abilities: Ability to train staff. Ability to foster effective working relationships with departments, staff, faculty, vendors, students and direct report employees. Ability to establish and accomplish goals. Strong customer service focus.Required Experience:Four years progressive experience managing a complex accounting department or similar with supervisory responsibility.Typical Education or Training:Bachelor's degree in accounting or related field or an equivalent combination of training and experience.Preferred: A degree in Accounting or a related field or accounting coursework is preferred, but could be substituted with comparable work experience.Position Details:This is an exempt (salaried), non-represented, regular, full-time, 12-months per year position.Compensation:Grade 81, biweekly rate $2,444.80 DOE.
