Description:The Executive Assistant and Board Liaison keeps communication and events between the Board, committees and staff running smoothly. This role is responsible for confidential administrative support to the Board and the Chief Executive Officer, providing administrative support including managing calendars, appointments, conference calls, itineraries, travel, and coordinating meetings. The Executive Assistant and Board Liaison will research, compile, draft, edit, and proofread correspondence, documents, presentations, proposals, and reports, and coordinate materials to ensure the team is prepared for meetings.In this role the Executive Assistant and Board Liaison responds to public inquiries; tracks executive office expenses; facilitates relationships; and performs other duties as needed. A key function is to plan, monitor, and coordinate administrative projects as assigned from initiation through completion, often collaborating with other departments. The Executive Assistant and Board Liaison has three major functions: 1) providing administrative support to the CEO, 2) serving as the liaison to LifeMed Alaska's Board of Directors, and 3) a wide range of administrative and general office duties to ensure timely and accurate completion of projects that enhance the efficiency and effectiveness of LifeMed Alaska in achieving its mission.Requirements:Supporting the Executive Director-- Coordinate, organize and assist with correspondence.-- Coordinate and maintain the CEO's schedule; plan, implement, and arrange travel.-- Answer, screen and direct phone calls and messages.-- Generate expense reports for the Executive Team; follow through the approval process to Accounting, ensuring a timely turnaround.-- Maintain CEO and Executive files, including minutes for the Quarterly Board Meetings, Executive Committee Meetings and various Committee Meetings.-- Review and amend legal documents at the direction of the CEO.-- Maintain the Executive Director's contact and email distribution lists.Board Liaison-- Schedule and provide logistical support for meetings of the Board of Directors and its committees. Generate agendas and other materials for meetings of the Board of Directors and ts committees.-- Take and generate minutes for Board Meetings.-- Maintain Board distribution lists and contact information, send out and track annual Conflict of Interest Forms and Disclosure Forms, and update Board Information and Selection Sheets.-- Maintain communications with the Board of Directors as directed and in accordance with the Operating Agreement-- Assist in preparation of Annual Meeting invitations, schedule meetings, prepare materials, and record minutes.-- Provide logistical support for additional meetings at the request of the CEO or senior staff.Additional Logistical and Administrative Support-- Create and maintain organization-wide calendar.-- Provide administrative support to LifeMed staff as needed.-- Assist in preparation for LifeMed events as needed.-- Assist with staff meetings as needed.Skills / Requirements:-- Previous Board Liaison experience, remote working experience and two years of providing administrative and operational support at the senior executive level, including booking travel, maintaining calendars, and tracking expenses preferred.-- Excellent technical skills, including minute-taking, and computer software skills.-- Confident written communication, with polished professional writing, and the ability to proof-read and craft organization documents.-- Excellent verbal communications skills.-- Strong emotional intelligence, including the ability to build trust and rapport in relationships with those from diverse backgrounds, be fully accountable for the impact of actions on others, and listen respectfully.-- Superb customer service skills and attitude.-- Attention to detail, ability to juggle multiple competing priorities.-- Ability to foresee potential problems and plan contingencies accordingly.-- Ability to maintain and protect sensitive and confidential information.PM21PIb86faa591fbf-25660-33668865
