Summary:The Alaska Small Business Development Center is looking for
the right person to fill the SBDC Program Specialist position. The
perfect candidate will have experience in many different areas
within a busy office environment and thrive when everyday is
different based on deadlines and unexpected events that interrupt
the flow. We need someone who is flexible and self-motivated to
overcome challenges by relying on their problem-solving and
organizational skills. This person will be dependable, detail
oriented, an excellent communicator and able to work independently
while also working collaboratively with a cohesive team. The
Program Specialist will assist with coordination and maintenance of
day-to-day operational functions of the Alaska SBDC and its
programs (SSBCI, BuyAlaska, Trend, etc.). This person will become
familiar with a wide variety of topics in order to assist with
required reports, projects, clients and database maintenance. This
position will also spend time posting to social media, leading
newsletter and publication efforts, designing simple graphics for
advertising and minor updates to program websites. The position is
Anchorage based and will work a hybrid schedule in the office and
remotely.Duties: 10% Other short term programs and projects that
support the SBDC mission, such as participation in various
entrepreneurial events, and similar special projects or programs.
Essential 20% Coordinate and deploy marketing efforts in line with
the SBDC statewide marketing plan. Develop and market newsletters,
workshop advertising, client success stories, annual reports, etc.
for public distribution. Use Constant Contact, social media, online
and print media resources. Use desktop publishing software, design
and format publications. Lead the production and release of annual
publications and print materials. Minor website updates. Essential
30% Administrative: Under direction from the Executive Director,
Associate State Director and/or Operations Manager, assist with the
development, preparation, distribution and maintenance of
comprehensive reports to multiple funders, stakeholders and
partners. Present reports as necessary to staff, resource partners,
and stakeholders. Assist with the preparation and maintenance of
grant proposals. Assist in the maintenance and distribution of the
SBDC Employee Handbook, on-boarding modules and other training
materials. Assist with electronic file organization and management
utilizing cloud technology. Coordinate, manage and maintain
equipment inventory lists. Coordinate with UA staff as needed and
assist SBDC staff with equipment orders/replacement. Work in
collaboration with center directors, business advisors, and
Database Administrator to field client complaints, inquiries,
comments, and requests and respond appropriately. Assist with
various customer, stakeholder and internal surveys utilizing
Neoserra, SurveyMonkey and Qualtrics. Provide office support and
back-up as needed: Receive and direct calls and general inquiry
emails from across the state. Explain the mission and functions of
SBDC processes and options. Back up the Training Manager, as
needed, in support of the workshop program. Organize, monitor and
support various internal committees, boards, and projects such as
the SBDC Advisory Board, Trend program, SSBCI and National Forest
Service, etc. Collect and evaluate data from these projects.
Monitor and assist with purchasing needs for the program; work
closely with fiscal staff as needed. Assist search committees with
managing recruitment folders and required documents during the
hiring process. Essential 40% Database: Monitor and maintain the
statewide client intake to ensure accuracy and continuity. Evaluate
and assist SBDC staff and clients with database questions and
errors. Work directly with and provide assistance to the Neoserra
Database Administrator in long-term assessment and management of
the client database. Provide regular clean-up and maintenance to
ensure data integrity. Assist with monthly, quarterly and annual
metric reports. Essential KNOWLEDGE/SKILLS/ABILITIES: Work requires
independent judgment and initiative on assignments that are time
sensitive and confidential in nature. The position requires
initiative, critical thinking, and independent decision making
skills. May perform special assignments such as researching
information and compiling reports. Ability to manage multiple
assignments, set priorities, and adapt to changing conditions. Be a
results-driven achiever with excellent organizational skills.
Position requires excellent written and oral communication skills
and attention to detail, applicant must be an exceptional listener.
Have stamina, drive and perseverance to handle pressure well.
Applicant must have advanced customer service skills and
problem-solving skills. Ability to take initiative, meet deadlines
and communicate clearly regarding project status is
crucial.Identify, research, and analyze problems and issues.
Recommend methods and procedures for measuring, benefits, and goal
achievements of various projects associated with the program.
Provide technical assistance in implementation of changes,
specifically regarding the Neoserra database and internal policies
and procedures; redesign systems and administrative procedures as
required and train staff in new systems and procedures. TYPICAL
EXPERIENCE: Working knowledge of computer information
systems/databases.Cloud technology, G Suite and Google Shared Drive
experience required.Microsoft Office, 365, and SharePoint
experience preferred.Experience working within Adobe Creative Suite
including PhotoShop, Illustrator, Acrobat and InDesign. Experience
with Canva.Experience maintaining professional social media
platforms. (Facebook, Twitter, Instagram, LinkedIn)Experience
creating newsletters and other media.Report building and
maintenance.Electronic file maintenance.General geographical
knowledge and understanding of the communities in Alaska.Knowledge
of common small business terminology.Working a hybrid remote and
in-office schedule.Experience and/or familiarity with SBDC, SBA and
UAA.Ability to speak and present in public and the ability to
write, exercising good judgment to present facts and
opinions.Ability to establish and maintain effective working
relationships with individuals and groups and to work successfully
as a member of a cohesive team. REQUIRED EDUCATION OR TRAINING:
Some college coursework or specific training in the area of project
management, business studies, information technology or similar and
two years progressively responsible experience. At least 3 years
experience in a professional setting and proficient in providing
excellent internal and external customer service to customers,
staff and stakeholders. Excellent organizational skills, attention
to detail, and the ability to maintain confidentiality. Familiarity
managing professional social media platforms.Occasional travel may
be required. Attendance of meetings that fall outside of the 8-5,
