Skills - Clerical Experience - Microsoft Office - Databases - Communication Skills - Organizational Skills The mission of the Office of Public Advocacy (OPA) is to provide advocacy for vulnerable Alaskans. OPA provides elder fraud investigation and pursuit, guardianship and conservatorship services for incapacitated adults, Guardian ad Litem representation for abused and neglected children, and attorney representation for indigent persons, including respondents in guardianship proceedings, juveniles charged in delinquency proceedings, parents in child protection cases, and defendants in criminal cases. OPA has offices in Anchorage, Palmer, Bethel, Fairbanks, Kenai, and Juneau. OPA is recruiting for an on-call, Law Office Assistant I to support the Elder Fraud and Public Guardian Section Supervising Attorney in Anchorage. This is a non-benefited position that offers an excellent opportunity for applicants who are seeking a challenging part-time position in a fast-paced, positive and professional work environment. The successful candidate will possess strong organizational skills, be detail and goal-oriented, and possess a well-developed work ethic. Due to the very fast-paced work environment, the skills to prioritize workloads and meet competing deadlines is essential. Key Responsibilities of this position include: Draft, type, format, edit for clarity and grammatical correctness, and proofread correspondence and legal documents including court reports, motions, affidavits, notices, and other legal materials for attorneys and public guardians as assigned. Assure that all legal pleadings are prepared according to court rules and procedures. Prepare documents for court filing, mailing, or other distribution, which includes notarizing signatures of staff and clients, certifying service, copying documents, and effecting service. Create and maintain case information into a specialized database and run reports as requested Prepare case files. Request and receive client documents from various governmental entities and banking institutions including the Alaska Court System, Social Security Administration, Vital Statistics, and the Bureau of Indian Affairs. When necessary go to agencies in person as required. These tasks include: drafting, typing, formatting, editing, and proofreading correspondence and tracking subpoenas to the pertinent agencies. It also includes following up with telephone calls and in-person visits as necessary. Enter all section case information into appropriate internal databases. This will include entering client names, case numbers, case statuses, important dates, demographic information, and other items into the specialized database and running reports as requested. Updating this information will also be required on a regular basis. Prepare all files electronically. This includes scanning in all documents and properly filing them in the electronic database. We are seeking a candidate with the following knowledge, skills, and abilities (these traits must be documented in your cover letter and applicant profile): Ability to maintain strict confidentiality of privileged communications and information and to comply with privacy laws and regulations. Ability to hear graphic discussions and to view evidence of violent crimes in a detached and professional manner. Ability to deal with individuals with mental health issues, developmental delays and dementia. Ability to manage multiple tasks with frequent interruptions. Ability to work independently and within a team environment. Excellent verbal and written communication skills. Experience working with databases and Microsoft Office. MINIMUM QUALIFICATIONS: One year of experience that includes clerical tasks (such as preparing correspondence or reports, filing, entering data, receiving payments, or maintaining logs) and frequent contacts requiring professionalism (such as with clients, professionals, business representatives, managers, etc.). Substitutions: Post-secondary education from an accredited college may substitute for the required experience (3 semester hours/4 quarter hours equal one month). Vocational-Technical Certification in a business support career area (such as administrative office technology, business and marketing management, entrepreneurship, office assistant, etc.) or legal support career area (such as paralegal, legal assistant, legal secretary, criminal justice, etc.) may substitute for the required experience.
